Glendale Pediatrics, a physician-owned private pediatric practice, is looking for a friendly, compassionate, energetic, and highly organized Pediatric Triage Administrative Assistant to join our team.

This is an important front-line administrative role for someone who enjoys helping families, communicating with people, and working in a fast-paced healthcare environment. As part of our triage and administrative team, you will be one of the first points of contact for parents and caregivers reaching out with questions or concerns about their children. You will help ensure that each family feels heard, supported, and connected with the appropriate member of our medical team.

The ideal candidate is someone who is warm and approachable, provides excellent customer service, remains calm under pressure, and confidently manages multiple priorities while maintaining attention to detail. Pediatric healthcare experience is a plus, but we are especially interested in someone who brings a positive attitude, strong communication skills, reliability, and a genuine desire to help children and their families.

About the Role

The Pediatric Triage Administrative Assistant works closely with our physicians, clinical staff, and administrative team to coordinate patient communication and care. This position does not provide medical advice or clinical assessment. Instead, you will gather and document information from families, identify the appropriate workflow, and ensure questions and concerns are routed to the appropriate clinical or administrative team member.

Responsibilities:

Serve as a friendly and professional first point of contact for parents and caregivers calling or messaging the practice.
Assist with follow-up communication regarding appointments, referrals, laboratory results, telemedicine visits, and other patient needs.
Route incoming patient calls, portal messages, and transcribe voicemails for the triage nurses with patience, empathy, and excellent customer service.
Listen carefully to parents' concerns, gather relevant information, and accurately document messages in the electronic health record (EHR).
Route clinical questions, symptoms, and concerns to the appropriate physician or clinical team member for review.
Recognize urgent or time-sensitive concerns and follow established office procedures for promptly escalating them to the appropriate clinical staff.
Coordinate and schedule pediatric appointments based on the direction and availability of the clinical team.
Assist with referral coordination, including communicating with families and outside offices and helping ensure necessary information is available.
Support the team with prior authorization administrative tasks and follow-up as needed.
Communicate appointment instructions, office procedures, and other non-clinical information clearly and professionally.
Work closely with physicians and clinical staff to help ensure patient messages and administrative needs are addressed efficiently.
Maintain accurate, timely, and thorough documentation in the EHR.
Protect patient privacy and maintain strict adherence to HIPAA and practice confidentiality policies.
Provide exceptional customer service while interacting with families, physicians, nurses, medical assistants, and other members of the practice.
Assist with general administrative and patient-support tasks as needed to help the office run smoothly.

Qualifications & Experience:

Previous experience in a pediatric, medical office, healthcare, customer service, or administrative setting preferred.
Pediatric office experience preferred.
Experience with phone triage, patient communication, scheduling, referrals, or EHR systems preferred.
Strong written and verbal communication skills.
Excellent attention to detail and organizational skills.
Ability to work independently while also collaborating closely with a team.
Ability to learn practice procedures, workflows, and electronic systems quickly.
